Minutes of BCP Foundation General Meeting, March 2, 2008

President Jeff Simon called the meeting to order at 10:35. All Council members were present. Ten general members were present as observers.

Minutes of the last general meeting were read by Secretary Stephanie and approved as read.

Treasurer Jerry gave his report stating that the current checking account balance was $6,192.10 and the current savings account had a balance of $1722.22. This would make BCP’s total financial resources to $7,914.82. The net revenue from the dinner theater was approximately $1,440.00, with an outstanding bill of about $70.00. All bills other than this one have been paid in full. Since the last report, we have deposited $280.00 in membership dues and paid for the script inventory expense of $193.11. Stephanie gave an update on the Director’s Workshop. All six new directors including Ellie Simon, Victoria Van Pelt, Sandi Stephens, Phyllis McNaughton, Sandra Suira, and Frank Tucciarone have auditioned actors for their respective play vignettes. They will do a performance at Snoopy’s on Saturday, March 29th at 6:30. The idea was discussed about possibly having the show for two nights depending on the availability of those involved; this was tabled until further research was done.

It was then brought up that to give the performance merit we should charge a fee. Member –at-large Jack Bute made a motion that we charge $1.00 and this was seconded by Jerry. Jeff countered with a motion to charge $3.00 and a discussion ensued; this motion was defeated. A motion was made by Membership Director Erin Ross to charge $2.00 and have a donation box; this was seconded by Stephanie and the motion was passed.

Amelia Stroup, Artistic Director, made a proposal to approve BCP’s involvement with the Food, Wine, and Arts Festival. Amelia along with Anayansi Menendez, Richard Lipnor, and Charlie Collins would make up the executive committee. The other organizations to be approached about involvement are the Lions Club, Casa Hogar Triskar, Rotary, and the 20/30 Club. Each of the five organizations involved would be in charge of one aspect of the festival. It was suggested that BCP be involved in the arts portion of the show. A date was suggested for the event to occur in June or July. Jerry made a motion to accept the proposal, seconded by Jim. Proposal passed unanimously.

Motion was made by Stephanie to replay the Mystery Dinner Theatre since it was such a financial success and a number of people were unable to attend. Motion was seconded by Jerry and passed unanimously. (See attachment 2).


Motion was made for BCP to become involved in Theater Education in Boquete. This was brought on by the request from Instituto Guadalupano to have a theatre program in their school. BCP members could go in as helpers (and not necessarily teachers) at the various schools in and around Boquete, thus meeting government regulations. The program would be headed up by Stephanie and Susan Thoms. Anayansi seconded the motion and it was passed unanimously. (See attachment 3).

Ellie Simon submitted a proposal to direct the play “Social Security” in the form of a Reader’s Theater. Auditions would occur on April 2nd and 3rd and performances would run from May 15th – 18th, at Snoopy’s. The charge for the production would be $6.00 and we would market as a new type of event. Stephanie made a motion to accept the proposal and Anayansi seconded. During discussion it was suggested that the proposed Saturday matinee be changed to an evening performance. Motion was voted on and passed unanimously. (Proposal in its entirety is attached).

Jerry Wager made a proposal for doing a joint venture with the Santa Lucia Country Club to produce a fifth performance of “Aunt Louise’s Will”. This would not be a charity event, but for the benefit of the country club. Jerry brought up that if we are doing this show, then we should receive the theatre portion of the revenue. Discussion followed and there was a concern about the feasibility of selling 100 more tickets to this show. When a vote was taken, it was defeated 4/3. (See attachment # 4).

Amelia presented a proposal to do a Latin Dance Night at the Feria Grounds. The event would take place in April and would include dinner, drinks, dance lessons and exhibitions, and of course dancing. If approved there would be a need to form committees to help put together the event. Jim made a motion to accept the proposal and Erin seconded. Discussion included that the treasurer needed to be kept informed since this was a BCP produced event. Motion was voted on and passed unanimously. (See attached proposal).

Amelia presented a proposal to have a members-only Games Night. This would take place at Snoopy’s and involve indoor and outdoor games. There would be prizes given and the sale of snacks. There would be a need to form committees, recruit nine judges for the various games, and have a set-up and breakdown crew. The admission price was originally $10.00 per person, and it was suggested since it was a member’s event to lower the price to $5.00 per person. This would be a BCP produced event. Jeff made a motion to accept the proposal and Stephanie seconded. Proposal was voted on and passed unanimously. (See attached proposal).

Next General Meeting will be on Sunday, April 6th at Snoopy’s at 10:30.
